The problem
Quarterly statements were assembled by hand in spreadsheets and emailed as PDF attachments — slow to produce, impossible to audit, and a standing data-protection risk. Advisors spent the first week of every quarter on reporting instead of on clients, and clients had no way to check a balance without picking up the phone.
What we built
We replaced the whole cycle with a private client portal. Portfolio data syncs nightly from the custodian, statements generate themselves, and clients sign in to see live positions, performance, and documents. Advisors got an internal console for approvals, notes, and one-to-one messaging.
Approach
How we got there
- 01Mapped the existing quarterly reporting process end to end with two advisors and the compliance lead.
- 02Built a nightly ingestion job against the custodian API, with reconciliation checks that flag mismatches before anyone sees a number.
- 03Designed the client-facing portal around the three questions clients actually ask: what am I worth, how did it change, and what do I need to sign.
- 04Added role-based access, full audit logging, and encrypted document storage to satisfy the compliance review.
- 05Ran a four-week pilot with a small group of clients before opening it to the full book.
